Privacy Policy for the Bookshare Website

Bookshare Co., Ltd (“Bookshare,” “we,” “us”) operates the Bookshare corporate website at bookshare.app, including its public blog (collectively, the “Website”).

This Privacy Policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and what rights you may have.

This Policy applies to visitors to the Website and authorized Bookshare personnel who access the blog-management features. It does not apply to the use of Skoolib or Handy Library, which are covered by their own privacy policies.

This Policy applies to users worldwide. If the law where you live provides additional or stronger privacy rights, those rights also apply.

1. Information We Collect

1.1 Information you provide

When you contact us through the Website, we may collect:

  • Your first and last name;
  • Email address;
  • Phone number, if provided;
  • The content of your message; and
  • Any other information you choose to send us.

When you contact us by email, phone, or another communication channel, we also receive the information contained in that communication.

1.2 Internal blog-author accounts

The public can read Bookshare blog posts without creating an account.

Only authorized Bookshare employees, contractors, or other approved personnel may access the blog-authoring and administration features.

When an authorized person uses Google Sign-In, we may receive basic Google Account information, including:

  • A unique Google Account identifier;
  • Name;
  • Email address; and
  • Profile picture, if available.

We use this information only to authenticate the person, confirm that they are authorized, manage their access, and identify the author or editor of blog content.

We do not receive or store the person’s Google password. We do not request access to Gmail, Google Drive, Google Contacts, Google Calendar, or other Google services.

1.3 Blog content and activity

For authorized authors and editors, we may store:

  • Blog posts and drafts;
  • Images and other uploaded content;
  • Author or editor information;
  • Publication and modification dates; and
  • Records of content-management activity.

Published blog posts, author names, publication dates, and any other information included in a published post are publicly available.

1.4 Technical information

When someone visits or uses the Website, our hosting, security, and technical systems may automatically receive limited technical information, such as:

  • IP address;
  • Browser and device type;
  • Language settings;
  • Pages requested;
  • Date and time of access;
  • Referring page;
  • Error logs; and
  • Security and authentication logs.

We use this information to operate, secure, maintain, and troubleshoot the Website.

2. How We Use Information

We use personal information to:

  • Respond to questions, support requests, and business inquiries;
  • Provide information about Bookshare products or services requested by the visitor;
  • Authenticate and authorize internal blog authors and editors;
  • Create, review, edit, publish, and maintain blog content;

  • Maintain necessary business and security records; and

When someone contacts us about a Bookshare product, we may respond with information relevant to that inquiry. We send unrelated promotional or marketing emails only where the recipient has separately opted in or where otherwise permitted by applicable law.

We do not use Google Sign-In information, contact-form information, or blog-author account information for targeted advertising.

Depending on applicable law, we process information to respond to your request, perform an agreement, comply with legal obligations, with your consent, or for our legitimate interests in operating and securing the Website.

3. Internal Blog Access

Google Sign-In on the Website is provided for internal blog administration. It is not an invitation for members of the public to create an author account or publish content.

Signing in with a Google Account does not automatically give a person access to blog-management features. Access is available only to accounts expressly authorized by Bookshare.

We may reject, restrict, suspend, or disable access where an account is not authorized, is no longer required, or may present a security risk.

Google processes information associated with Google Sign-In in accordance with its own terms and privacy policy.

4. Cookies and Similar Technologies

The Website may use essential cookies or similar technologies to:

  • Remember language or Website preferences;
  • Maintain an authorized user’s login session;
  • Protect login and administration features;
  • Prevent fraud or misuse; and
  • Keep the Website functioning correctly.

Where enabled, we may also use limited analytics technologies to understand general Website usage and improve performance. Where applicable law requires consent, non-essential analytics technologies will not be activated until consent is provided.

Visitors can manage cookies through the Website’s cookie settings, where available, or through their browser settings. Blocking essential cookies may prevent some Website features from working correctly.

Google may also use cookies or similar technologies when an authorized person uses Google Sign-In, subject to Google’s own privacy practices.

5. How We Share Information

We do not sell or rent personal information. We do not share personal information with third parties for their own targeted advertising.

  • Google, to authenticate authorized blog authors through Google Sign-In;
  • Hosting, database, security, email, and technical service providers, where necessary to operate and protect the Website;
  • Analytics providers, where analytics are enabled and permitted by applicable law;
  • Professional advisers, where reasonably necessary for legal, accounting, security, or compliance purposes; and
  • Government authorities or other parties, where required by law or necessary to protect Bookshare, our users, or others.

Service providers are permitted to process information only for the services they provide to us and must protect it appropriately.

Published blog content, including an author’s displayed name and any personal information intentionally included in a post, is available to the public.

6. Data Retention and Deletion

We retain information only for as long as reasonably necessary for the purposes described in this Policy.

In general:

  • Contact inquiries are retained for the time needed to respond, maintain appropriate business records, resolve disputes, or comply with legal obligations;
  • Internal blog-author account information is retained while the person remains authorized and for a limited period afterward where needed for security, auditing, or legal purposes;
  • Drafts and published blog content are retained until they are deleted, unpublished, or no longer required;
  • Technical and security logs are retained for a limited period needed for security, troubleshooting, and system operation.

When information is no longer needed, we delete or anonymize it, unless applicable law permits or requires longer retention.

Authorized blog authors may ask a Bookshare administrator to disable or delete their internal account. Anyone may request deletion of personal information held by Bookshare by contacting support@bookshare.app.

Revoking Google Sign-In access through a Google Account may prevent future authentication, but it may not automatically delete information already stored by Bookshare. To request deletion from Bookshare’s systems, contact us directly.

7. Data Storage and International Transfers

Bookshare and its service providers may process information in Vietnam or in other countries where our infrastructure or service providers operate.

Where personal information is transferred internationally, we use reasonable contractual, technical, and organizational safeguards as required by applicable law.

8. Security

We use reasonable technical and organizational measures to protect personal information, including encrypted transmission, access controls, restricted administrative permissions, and security monitoring.

Access to blog-management features should be limited to authorized Bookshare personnel.

No online service or storage system is completely secure, and we cannot guarantee absolute security.

9. Your Rights and Choices

Depending on the law where you live, you may have the right to:

  • Access personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Request deletion of your information;
  • Object to or restrict certain processing;
  • Receive a portable copy of your information;
  • Withdraw consent where processing is based on consent; and
  • Lodge a complaint with a competent privacy or data-protection authority.

You may opt out of promotional emails at any time by using the unsubscribe link in the email or contacting us. Opting out of marketing does not affect communications sent in response to your inquiry or necessary administrative and security messages.

10. Children’s Privacy

The Website is a corporate and product-information website and is not directed to children.

We do not knowingly provide blog-author accounts to children. If we learn that a child has submitted personal information without any permission required by applicable law, we will review and delete the information where appropriate.

11. Changes to This Policy

We may update this Privacy Policy to reflect changes to the Website, our practices, service providers, or applicable law.

When we make material changes, we will update the date at the top of this Policy and provide additional notice where required.
