As Duong Lieu Library expanded with a second branch, its self-built management software quickly showed critical limitations. It could not support multiple libraries, nor connect branches to share member or catalog data, creating operational silos. Managing a growing collection of over 15,000 books was equally challenging. Books and member cards lacked barcodes, relying only on call numbers and numeric IDs, which slowed borrowing, returning, and inventory checks. Without cover images stored in the system, identifying and cataloging books was cumbersome. On the administrative side, the system lacked multi-user access, role assignments, and custom permissions, increasing inefficiency and risks. Reporting tools were also missing, such as the ability to track reader check-ins. For readers, the experience was limited: no OPAC for searching or checking availability, no curated thematic collections, and no tools for organizing community or extracurricular events. These gaps in scalability, cataloging, management, and reader experience not only disrupted daily operations but also limited the library’s ability to modernize and grow with its community.



To address the challenges faced by Duong Lieu Library, we introduced Skoolib as a modern, cloud-based library management system. The platform was designed to simplify daily operations for librarians while creating a smoother, more engaging experience for readers. Key solutions included:

- Inter-library support: Skoolib allows libraries within the same organization to be created and managed independently, while also enabling inter-library connections for sharing members and exchanging books across branches.
- Barcode system: The platform supports ISBN and internal barcodes for efficient classification, quick search, and fast inventory checks. Each member is assigned a unique ID that is converted into a barcode, making reader check-ins and borrowing/return transactions faster and more accurate.
- Roles and permissions: Skoolib provides default roles such as Admin, Librarian, Member, and Guest, while also allowing custom roles with flexible permissions. This ensures secure access control and reduces risks from unauthorized accounts.
- Analytics and reporting: The system tracks check-ins, borrowings, and returns by day, month, or year, and provides comparative charts to measure and improve library performance.
- OPAC (Online Public Access Catalog): Skoolib makes it easy to create and share an OPAC page, enabling readers to search for books, check availability, and access library information online.
